Nominee Settings -Nominee Configurations 


In the nominee configurations section, administrators can manage how nominee and guardian details are collected from stakeholders. This is especially useful in equity management workflows, where stakeholders may wish to nominate individuals to inherit or oversee their equity holdings.

 

Steps to Configure Exercise Window:

1. Click Settings > Configurations in the menu on the left.

2. Under Equity Award - Grant configurations, click Nominee Configurations

The Nominee Configuration module in Qapita Portal allows administrators to define how nominee details are collected and managed across various stakeholders. Whether during login, grant acceptance, or option exercise, this feature ensures that nominee data is captured in a way that aligns with organizational policies.

  1. Configurations Tab

Administrators can configure nominee data collection at three key stages of stakeholder interaction:

  • Stakeholder Login

Nominee details can be requested when a stakeholder first logs into the platform.

Admins can choose whether this is mandatory or optional.

  • Grant Acceptance

When stakeholders accept equity grants, nominee details can be collected. This ensures nominee data is tied to specific grants. Again, this can be set as mandatory or optional.

  • Option Exercise

During the exercise of equity options, nominee information can be captured. This is critical for legal and succession planning. Admins can define whether this step is mandatory or optional.

 


2. Nominee Details

This section captures the personal details of the nominee designated by the stakeholder. It includes both default fields and additional fields, which can be configured based on company policy.

These fields are always available and form the basic nominee profile like:

  • Nominee Name – Full name of the nominee
  • Relationship – Relationship to the stakeholder (e.g., spouse, child, parent)
  • Date of Birth – Used for identity verification and legal documentation
  • Address – Residential or mailing address of the nominee
  • Mobile Number – Contact number for communication
  • Email – Optional field for digital correspondence

 Additional Fields like:

  • Aadhaar Number – Useful for identity verification in India; can be made mandatory
  • Permanent Account Number (PAN) – Required for financial and tax-related documentation; configurable as mandatory or optional
